Early access open · Asset tracking for operations teams

Know what you own. Know where it goes.

LoopLedger helps your team track equipment, manage checkouts and returns, and keep every asset accounted for — from one shared workspace instead of spreadsheets, sign-out sheets, and chat threads.

Built for teams that manage tools, devices, and shared equipment across people and locations.

Survey equipment

Unlocated
  • One record per item

ID, serial, location, holder, condition, and value in a single searchable entry.

  • A QR label on every asset

Scan to open the record and log a checkout, return, or move in seconds.

  • Due dates that follow up

Expected returns are tracked and overdue items surface automatically.

  • Service history attached

Inspections, repairs, and costs live on the asset, not in a separate log.

The problem

Equipment rarely gets stolen. It gets lost in handovers.

Tools, devices, and gear move between people, vans, sites, and workshops every day. Each move is a chance for the record to fall behind — and once it does, every lost item, late return, and missed inspection costs real money.

  1. 01

    Equipment disappears between teams

A laser level leaves the yard on Monday in a foreman’s van. By Thursday, three crews believe someone else has it.

  2. 02

    Nobody is clearly responsible

Shared kit is “with the Eastgate crew” — which means no single person is accountable when it goes missing.

  3. 03

    Return dates slip quietly

A rented scissor lift sits idle on site a week past its return date because nobody was reminded.

  4. 04

    Maintenance gets missed

A gas detector’s bump test is overdue, but the date lives in a workshop notebook nobody checks.

  5. 05

    Hours lost to searching

Before every job, someone scrolls spreadsheets and group chats to work out what is available and where.

Why the usual tools stop working as you grow

A spreadsheet is fine for twenty items and one storeroom. Add a second site, a rental fleet, or a few hundred devices and the cost shows up as re-purchased tools, project delays, disputed deposits, and inspections that were never booked.

Spreadsheets

Show what someone typed last week, not who has the item now. One copy per site, none of them current.

Paper sign-out sheets

Cannot remind anyone, cannot be searched, and stay in the yard when the question comes from site.

Chat threads

Handovers are agreed in messages that scroll away. There is no record to check when something is lost.

The LoopLedger approach

Give every item a digital record and a QR label. Record each handover where it happens. Let the ledger keep track of who has what, when it is due back, and when it needs service.

How it works

Three steps from scattered records to one ledger

  1. 01

    Register your assets

Import a spreadsheet or add items one by one: equipment, tools, devices, safety gear, and furniture. Each item receives a unique ID and a printable QR label.

    HL-0413 Bosch GCL 2-50 laserSurvey
    HL-0414 Dell Latitude 5450IT devices
  2. 02

    Track every handover

Scan the label to issue an item to a person, team, project, or location with an expected return date. Returns record the condition and where the item came back to.

  3. 03

    Stay in control

Monitor returns, overdue items, maintenance schedules, and full asset history from one dashboard, with reminders and reports built from the same records.

Features

Everything a shared item needs, recorded in one place

Each capability writes to the same asset record, so inventory, handovers, maintenance, and reports always agree with each other.

Asset inventory

A searchable record for every registered asset

Store each item’s ID, category, serial number, condition, location, status, purchase date, and optional value. Search by any field and filter by category, location, condition, or status.

Why it matters: Anyone on the team can answer “do we have one, and where is it?” without asking around.

QR code tracking

Labels that open the right record

LoopLedger generates a unique QR code for each asset. Authorised users scan it with a phone to open the record and log a checkout, return, location move, or inspection on the spot.

Why it matters: Records are updated where the handover happens, not reconstructed from memory at the end of the day.

Checkouts and returns

Clear handovers, with conflicts caught early

Record who collected an item, who issued it, when it left, where it went, and when it is due back. Returns capture the date, condition, and drop-off location. An item that is already out cannot be issued twice.

Why it matters: Late returns become visible the day they happen, and disputes over who had what have a dated record to settle them.

People and teams

See who is responsible for what

Assign items to employees, teams, projects, or locations, and see everything a person currently holds before they leave the company or move sites.

Why it matters: Accountability is attached to a name, not a crew.

Maintenance

Inspections and repairs on a schedule

Schedule inspections, calibrations, and repairs; assign them to staff; record costs; and keep the full service history on the asset.

Activity history

A durable trail for every asset

Assignments, movements, returns, status changes, and archive actions are written to a chronological, append-only history.

Why it matters: You can always reconstruct where an item has been and who handled it.

LoopLedger Assist

Less typing at registration. Faster answers afterwards.

Assist reads purchase invoices to pre-fill new asset records, and turns workspace activity into short, plain-language summaries of what is overdue, unlocated, or due for service. It works only from your own records, and every extracted field is confirmed by a person before it is saved.

Why it matters: registering a backlog of equipment stops being a data-entry project, and managers get the week’s exceptions without building a report.

Solutions

Built for teams whose equipment moves every day

The workflow is the same — register, hand over, return, maintain — but the pressure points differ by industry.

Construction

Contractors managing power tools, survey instruments, plant, and safety equipment across yards and active sites.

The problem
Tools leave the yard in vans and move between sites without a record. Expensive instruments go unaccounted for, and inspection dates for lifting and safety kit are tracked in notebooks.
How they use LoopLedger
Crews scan a label when they collect or drop off kit. Foremen see what is on their site, the yard sees what is due back, and the workshop works from a maintenance queue.
The benefit
Fewer duplicate purchases and hire charges, and a dated record for every handover and inspection.

Technology

How We Use Amazon Web Services

LoopLedger is architected as a serverless application on AWS. A QR scan becomes an authenticated API call, a transaction against an organisation-scoped ledger, and — where useful — an invoice extraction or a plain-language summary, so every handover is recorded once and every report reads from the same source.

Services and responsibilities

Each organisation’s data is isolated at the API, database, and storage layers. Using AWS services does not by itself make LoopLedger compliant with any particular regulation; security and compliance commitments are agreed with each customer.

  • Amazon API Gateway: Receives authenticated requests from the web app and phone scans — checkouts, returns, location moves, and asset lookups — and routes them to the correct function.
  • Amazon Cognito: Manages sign-in, password recovery, and the Owner, Administrator, Manager, and Staff roles, issuing tokens that carry each user’s organisation.
  • Amazon RDS for PostgreSQL: Stores the relational asset ledger: organisations, assets, people, locations, checkouts, maintenance records, and the append-only activity history, with every query scoped to one organisation.
  • Amazon S3: Holds purchase invoices, asset photos, generated QR label sheets, and CSV report exports in encrypted, organisation-prefixed storage.
  • AWS Lambda: Runs the application logic: validating handovers, preventing double checkouts inside a database transaction, enforcing role permissions, and writing history entries.
  • Amazon EventBridge: Triggers scheduled jobs that find overdue returns, upcoming maintenance, and assets that have not been scanned recently.
  • Amazon Textract: Extracts item names, serial numbers, dates, and amounts from uploaded purchase invoices to pre-fill new asset records for review.
  • Amazon Bedrock: Generates short, plain-language summaries of a workspace’s overdue, unlocated, and service-due items from that organisation’s own records.
  • AWS Amplify: Builds and hosts the LoopLedger web application and this website, with HTTPS and branch-based deployments.
  • Amazon SES: Sends return reminders, overdue notices, maintenance alerts, and account emails, and delivers early access enquiries to the team.
  • Amazon CloudWatch: Collects logs, metrics, and alarms across the API and scheduled jobs so failures and slow requests are caught quickly.
